General FAQs

Do I need to make a booking for my picnic or event?

If you answer YES to one or more of the following, then you will need to make a booking - 

  • Will you have more than 25 people attending?
  • Are you or your guests bringing alcohol?
  • Are you engaging a commercial provider such as a caterer, face painter or picnic designer?
  • Are you a company or organisation, including not for profit?
  • Do you want to guarantee a venue for your visit?

Weddings and corporate functions, require a booking regardless of the number of attendees.

Why should I make a booking to have my picnic or event in Kings Park and Botanic Garden?

When you book a venue, you will have the use of your chosen venue for your preferred date and time.

You can let your guests and external providers know of the exact location of your function. 

What does venue hire include?

Booking a venue provides you use of the site for the period you have booked (including your set up and break down).

Signage is provided to indicate your reserved area. 

Some venues include power or tables and chairs, refer to venue details for more information.

How many guests can we have?

The number of guests will depend on the venue capacity. Refer to the venue details for more information. 

For bookings of more than 250 people, refer to the process for booking a Medium-sized event.

How do I choose a venue?

Refer to the hire a venue section. Each venue listing includes details such as:

  • the maximum number of guests
  • the nearest facilities
  • how to access the venue
  • what events are suitable
  • photos of the venue, and 
  • its location within Kings Park and Botanic Garden

We recommend that you visit your preferred venue, before making a booking, to make sure the location meets your expectations.

Where can I find a map of my venue?

The venue page contains a Google Map image with a location marker, in addition, we have a choice of maps on the website showing all venues and areas of the park. 

Maps can be shared to your guests by sending them the link to your venue or the most appropriate map showing where your venue is located.

Are there any areas that cannot be booked?

Yes, the Kaarta Garup Lookout and Lotterywest Federation Walkway cannot be booked, and so can be enjoyed by all visitors.

The State War Memorial precinct can only be booked for official memorial services approved by RSLWA.

Are there times when venues are not available?

Restrictions may apply to accommodate major events, special occasions or maintenance works. The Bookings Officer will advise of any restrictions that apply at the time of booking. These include:

  • Venues within the Western Australian Botanic Garden and Fraser Avenue precincts may be unavailable during the year for major events including (but not limited to):
  • Lightscape – mid May to first week of August
  • Kings Park Festival – September
  • Summer concert season - late October to the end of April
  • Fraser Avenue Precinct venues are restricted from 21 to 26 April for Anzac Day preparations and services and on the morning of 11 November for Remembrance Day. 
  • Bookings are not taken for Christmas Day, New Year’s Day, Australia Day or Mother’s Day.

If a venue becomes unavailable due to unforeseen circumstances, BGPA will negotiate with the organiser for an alternative available venue.

How far in advance may I book a venue?

We are able to accept bookings up to two years in advance. 

What times can I book for?

Venue hire is available between 9am and 6pm daily. For requests outside of these hours, please contact the bookings office.

Booking times for activities including filming and photography, fitness training and sporting event are negotiable.

How long can I book a venue for?

For all standard bookings, there is a two-hour minimum, however you are welcome to book for as many hours as you wish between 9am and 6pm.

Photography and sporting events can be booked in hourly blocks.

How do I make a booking?

Once you have looked through the venue and booking information, contact the Bookings Office and one of our team will walk you through the booking process.

Fees and charges

How much does it cost to book a venue?

Costs to hire a venue vary depending on the venue, the number of guests and the type of function.

Fees and charges also apply to other activities such as sport and fitness and filming and photography.

When do I pay for my booking?

Payment is required within 14 days of receiving your invoice or, by the close of business the Wednesday prior to the event, whichever is sooner.

Your invoice and payment options are provided during the application process.  

Can I get a refund if I cancel my booking after it has been confirmed?

Refunds can only be provided if a booking is cancelled by the organiser more than 10 days prior to the event. Fees will not be refunded after the booked date or as a result of inclement weather. More information on our cancellation policy is available in the Venue terms of use.

All bookings incur a minimum non-refundable fee. 

In some circumstances, BGPA can put your booking on hold for up to 12 months. No fees are incurred to postpone your event. Requests to cancel or postpone a booking must be in writing to the bookings officer.

What are the booking fees for?

Kings Park and Botanic Garden is a public open space with millions of visitors each year. 

Revenue from bookings is invested back into the park for the ongoing maintenance and improvement of venues and facilities. 

Will my booking still go ahead in bad weather?

Bookings will not be cancelled by BGPA unless there is an extreme weather event or in the case of forecast severe and above fire danger rating or a total fire ban which may close an area/areas of the park. 

In some cases, your event may proceed however activities such as catering will not be permitted and access to some areas will be restricted, or we may be able to relocate your event to an unaffected area. 

In the event that conditions on the day will likely impact visitor safety, we will contact you to discuss your options. 

Vehicles and parking

Can I have a limousine in Kings Park?

Limousines and other special event vehicles are welcome in Kings Park. However, the length of some vehicles may restrict which venues are accessible.

Limousines are unable to access the Forrest Drive Carpark which is the closest carpark to the Botanic Terraces and Pavilion and the northern end of the Botanic Garden venues such as the Wildflower Pavilion. Please check the parking map on the website or contact the Bookings Office to discuss vehicle access for your venue.

Can I reserve car park spaces for my event?

We are unable to reserve car bays for private events. Some venue have short term ‘set-down’ bays nearby for unloading and loading of items.

Can I have a horse and carriage?

Yes, please contact the Bookings Office to discuss your requirements.

Access

Which venues are best for disability access/toilets?

Each venue has different elevation, access to amenities and access to site, please check the venue information to ensure you choose a location that suits your needs. 

We also recommend you visit your preferred venue/s before you make a booking.

Can I hire a buggy for myself or my guests?

We do not have vehicles available to hire. Please consider the location of your venue carefully, we have many venues that are close to set down zones, or are only a short distance from car parks or public transport stops.

Alcohol and catering, including barbecues and food trucks

Can we drink alcohol at our event?

Yes. 

Alcohol consumption in Kings Park and Botanic Garden requires a permit, even if you and your guests are bringing your own (BYO). 

A permit can be requested during the application process.

Can I hire the barbecues?

No. 

The barbecues are to be shared by all visitors. They cannot be hired for exclusive use either on their own or as part of a venue booking. 

Can I bring my own barbecue?

No. 

Catering equipment may be permitted for events of more than 80 attendees and when operated by a professional caterer only. 

Professional caterers and self-catered picnics, as well as food deliveries to your venue, are welcome.

No cooking is permitted in the Botanic Garden.

Can we have food trucks at our event?

Food trucks are not permitted. Smaller set-ups such as vehicles with trailers are considered on a case-by-case basis and in the following areas of the park:

  • May Drive Parkland
  • Saw Avenue
  • Poolgarla Family area

Furniture and decorations - tables, chairs, umbrellas etc

Can have furniture for my event?

Standard tables and chairs are welcome. 

Additional items require approval depending on their suitability for the venue. Please contact the bookings office before booking furniture packages.

Pop up gazebos, market umbrellas, tents and other structures are not permitted in Kings Park regardless of the weather conditions.

Can I put up decorations?

Yes, however some conditions apply:

  • Free-standing decorations only are permitted.
  • Decorations are not be attached to any structure or living thing.
  • Live plant material, such as topiary trees and pampas grass, and soil are not permitted. 
  • Cut flower arrangements are welcome but should be sourced from accredited suppliers and must be in appropriate containers.

Can I put up a marquee?

Marquees are permitted at the following sites:

  • Exhibition Ground
  • Grass Trees Lawn
  • Saw Avenue Lawn East
  • Poolgarla Parkland

Fees start at $1500 for a four-hour booking. This fee is for the hire of the lawn only. Organisers need to make their own arrangements to hire a marquee.

I plan to have furniture and decorations, can I drive up to the venue to unload?

There are many venues that have great access for deliveries, others however can be quite a distance from the nearest set down zone or car park, please consider this when making your booking.

Can you recommend any suppliers for my event?

We do not have any preferred suppliers. Organisers should make their own enquiries to ensure they find the right supplier for their event. 

Music and games

Can I have music at my event?

Music is permitted provided it does not disturb other park users. 

Live acts are assessed on a case-by-case basis and is dependent on the location. Pipes and drums are not permitted.

Musical instruments, portable speakers, battery powered amplifiers and personal address (PA) systems are permitted. A 30-minute time limit applies to PA or amplifier usage.

Can I bring activities and games?

Some giant games are permitted in selected areas. 

Small rubber/plastic-based activities such as baby ball pits may be considered if placed wholly on the concrete floor of a pavilion. They are not permitted on any grassed area.

Bouncy castles, bucking bulls, animal farms, trackless trains and bubble machines are not permitted.

Other activities

Can my dog attend my event?

Dogs are welcome however they must stay on a lead no longer that 2 metres at all times. Please bring your own refuse (poo) bags and ensure to dispose of bags appropriately. 

Dogs are not permitted:

  • within 10 metres of any playground
  • on The Lotterywest Federation Walkway (tree top walk)

Can I have candles?

Live flames are not permitted. Battery operated tea lights are welcome.

Can I have a Smoking Ceremony?

Smoking ceremonies maybe permitted under certain conditions. Permission is required and procedures are in place to make sure that ceremonies are conducted safely and protect Kings Park and Botanic Garden and our visitors.

An application form must be submitted to ensure that a suitable location and plant material is available. Plant material must be provided by BGPA as no plant material can be brought into the park.
